📁 Organising your projects with folders

Group related projects into folders to keep your Projects page clear and easy to navigate.

Written by Océane

⏱️ The essentials

• Folders are organisational containers on the Projects page, they don't affect who can see or edit which projects.
• A project can belong to only one folder at a time. Removing it from a folder keeps it in the space, just unfiled.
• Folders can contain sub-folders. Deleting a folder is safe for the projects inside, they return to the main list.
• Space Admins, Space Authors, and Platform Admins can create and manage folders. Space Coaches can view them but not edit them.

🧠 What folders are for

Folders live on the Projects page and let you group related projects within a training space. They are purely organisational: they don't change access rights or visibility. A user only sees the projects in a folder that they already have access to, so two users may see a different project count on the same folder.

ℹ️ Folders belong to one training space and cannot span multiple spaces.

➕ Creating a folder

  1. On the Projects page, click Create folder.

  2. Enter a name (must be unique within the space and non-empty).

  3. Optionally select projects to add straight away, only projects not already in a folder are shown.

  4. Click Validate.

📂 Moving projects into a folder

One project at a time:

  1. Open the project's actions menu ().

  2. Select Move to folder.

  3. Pick the destination folder.

Several projects at once:

  1. Tick the checkboxes next to the projects you want to move.

  2. In the floating action bar, click the folder icon (Move projects).

  3. Pick the destination folder.

ℹ️ A project can be in only one folder at a time. To remove a project from a folder without deleting it, use the "Remove from folder" button, the project stays in the space and returns to the unfoldered list.

✏️ Renaming a folder

  1. Open the folder's actions menu ().

  2. Select Rename.

  3. Enter the new name (must still be unique within the space).

🗑️ Deleting a folder

  1. Open the folder's actions menu ().

  2. Select Delete and confirm.

ℹ️ Deleting a folder does not delete the projects inside, they return to the unfoldered list. Any sub-folders inside the deleted folder are also deleted.

🗂️ Using sub-folders

Folders can contain sub-folders. To create a sub-folder, open a folder and use the same Create folder action. There is no documented limit on nesting depth.

ℹ️ There is no drag-and-drop, all moves happen via menus.

ℹ️ Good to know

  • There is no limit on the number of folders per space, projects per folder, or nesting depth.

  • Folder names must be unique at each level within the space.

  • Folders do not have their own sharing settings, access is always managed at the project level.

  • There is no breadcrumb navigation inside a folder view.
