⏱️ The Essentials in 3 Minutes |
🧠 Understand the Value of Training Spaces
Training spaces work as secondary areas of your platform. They let you group users, learner groups, projects, and publications (paths or programs) into clearly distinct areas.
📌 Typical use cases:
A large organization with complex projects and publishing needs.
A network of schools divided into several regions or business lines.
A BU that wants to manage its content independently.
💡 In practice, when you create a space, you assign contributors with specific roles (learners, authors, admins, coaches) and limit their access to that space's scope. You then attach the relevant projects, publications, and learner groups to it.
⏱️ Choose the Right Time to Create a Space
Before creating a space, ask yourself the right questions - this segmentation also comes with structural constraints.
What to know before creating a space:
Element | Rule |
Users (excluding learners) | Can be added to multiple spaces. |
Learners | A learner can only belong to one space. |
Groups | Specific to each space - not shared between spaces. |
Projects | Specific to each space - not shared between spaces. |
Publications | ✅ Exception: a publication can be shared from one space to another to facilitate distribution. |
⚠️ Creating spaces is not always necessary and can introduce additional complexity. Carefully evaluate whether it truly meets your needs.
Alternatives to consider first:
Before creating a space, these options often meet the need without splitting the platform:
Create learner groups to segment without dividing the platform.
Work with co-authors within a single project, rather than creating a separate space for a few contributors. Learn more.
🛠️ Create a Training Space in 5 Steps
Once the feature is activated on your platform:
Go to Settings.
Click "Training spaces".
Click "Create a new space".
Add graphic settings: banner image, text color for the title, title displayed on the banner.
Attach one or more coaches, learner groups, projects, and programs to your space.
💡 As soon as at least one training space exists on your platform, your projects are automatically organized by space in the Projects section.
🔗 Share a Publication Between Spaces
You can create a project and a publication in Space A, and share only the publication to Space B - without affecting the original project.
How to proceed:
From the Publication page of your project.
Click the three dots at the top right.
Select "Share publication".
Choose the destination space.
