🔄 Manage the User Account Lifecycle

From invitation to deactivation: everything you need to know to administer user accounts on Didask.

⏱️ The Essentials in 3 Minutes

• Invite your users from the Users page and customize the invitation message.
• Each account has a status (pending, invitation sent, active, deactivated) that reflects its stage in the onboarding journey.
• Deactivation preserves statistics while deletion is permanent.

📩 Invite a User

  1. In the side menu, click Users.

  2. Select the user to invite.

  3. Send a default or customized invitation message.

  4. You can receive a test version of the email before sending it.

⚠️ Before sending the invitation, make sure the user's email address is active and working. Sending to an inactive address may cause future emails to be blocked.

The Didask invitation serves three purposes:

  • Invite a learner to create their account and access their training.

  • Invite an author or admin to use the back-office.

  • Re-engage learners who have not completed their registration.


✅ Understand Account Statuses

Status

Meaning

Pending

Account created but no invitation has been sent yet.

Invitation sent

The user received an invitation email but has not yet activated their account.

Active

The user completed registration and has access to the platform.

Deactivated

The user no longer has access to the platform.

These statuses let you track exactly where each user is in their onboarding journey.

💡 Filter your user list by status to quickly identify accounts to re-engage (invitation sent too long ago) or to activate (pending accounts).

How to proceed

From the user's page

Contact us via the chat bubble at the bottom right of your platform or at assistance.didask.com.

💡 Prefer deactivation in most cases: it frees up a license while preserving history for your records or if the learner returns.

⚠️ In license mode, only an active account consumes a license. Pending, Invitation sent, and Deactivated statuses do not. See: Understand the Difference Between Licenses and Credits.


🚫 Deactivate One or More Accounts

Individual deactivation:

  1. Go to the Users section.

  2. Click on the relevant account to open the user page.

  3. Click Deactivate account.

Bulk deactivation:

  1. Go to Users.

  2. Use the Status, Role, or Group filters at the top of the list to display the relevant users.

  3. Select users using the checkboxes to the left of their names (or use the global checkbox at the top left to select the entire list).

  4. Click "Deactivate accounts" in the banner that appears at the bottom of the screen.

💡 In both cases, the user immediately loses access to the platform. Their account and training history remain intact.


♻️ Reactivate One or More Accounts

When reactivated, the user instantly regains access with their full progress history and certificates.

Individual reactivation:

  1. In the Users tab, filter by status and select Deactivated account.

  2. Click on the relevant account.

  3. Click Reactivate account.

Bulk reactivation:

  1. Go to the Users tab.

  2. Use the Status filter to display only deactivated users, adding Role or Group filters as needed.

  3. Select users using the checkboxes to the left of their names (or use the global checkbox at the top left).

  4. Click "Activate accounts" in the banner at the bottom of the screen.


🗑️ Request Permanent Account Deletion (GDPR)

Deletion is not available from the interface - it requires a request to our support team to comply with GDPR obligations and ensure traceability.

  1. Contact us via the chat bubble at the bottom right of your Didask platform or at assistance.didask.com.

  2. Provide the accounts concerned (name, email, ID if available).

  3. Specify the reason (learner request, right to erasure, end of data retention period).

⚠️ Deletion is permanent and irreversible. All associated data (progress, certificates, individual statistics) is erased.


🛠️ Perform Bulk Actions

From the Users section, you can apply an action to multiple accounts simultaneously by selecting them in the list.

As soon as you select at least one user, a banner appears at the bottom of your screen letting you:

  • ✉️ Send invitations to selected learners.

  • 🗂️ Edit the groups the learners belong to.

  • 👤 Edit the roles and scopes of selected accounts.

  • 🔄 Deactivate or reactivate accounts in one click.

  • 📊 Export the selected learner list in .xlsx format.

💡 To save time, use the filters at the top of the page (by group, status, etc.) before checking the global checkbox (top left of the list) to select all users at once.
