🔄 Add, Edit, or Remove a User from a Space

Learn how to add or remove a user from a training space and assign them one or more roles.

🧠 Understand the Importance of Space-Based Management

On a multi-space platform, each space corresponds to a distinct learning context: a department, a function, a training program. Properly assigning each user to their space ensures a consistent learning experience: learners only see what's relevant to them, coachs follow the right cohort, and designers work on the right catalog.

📌 Example: a platform with an "Onboarding" space and a "Manager" space. You add new joiners to the Onboarding space (learner role), and team leads to the Manager space (learner + coach role). Each person finds their training immediately upon login, with no noise.


➕ Add a User to a Space

  1. Go to the Users tab.

  2. Click on the user's name.

  3. Click User profile.

  4. Scroll down to the Roles and scopes section.

  5. Click on Spaces the user is not a member of.

  6. Hover over the desired space, then click the green "Make this space accessible to the user" button.


🎯 Assign a Role to the User in That Space

  1. Go back to the Users tab.

  2. Click on the user's name.

  3. Assign the desired role(s) in the space: author, coach, admin, or learner.

⚠️ A user cannot be a learner in two different spaces. If you try to add them as a learner in a second space, the action will be blocked.

💡 Other roles (author, coach, admin) can however be combined across multiple spaces.


➖ Remove a User from a Space

  1. Go to the Users tab.

  2. Click on the user's name.

  3. Click User profile.

  4. Scroll down to Roles and scopes.

  5. Hover over the relevant space, then click the red "Remove this user's access to this space" button.

💡 Removing a user from a space does not delete their account: they remain active on the platform and retain access to any other spaces they are a member of.
