🧠 Understand the Pedagogical Value of Activating the Coach

Activating the coach opens a permanent learning channel for your collaborators, outside of structured training. Unlike the learning assistant that supports learners inside modules, the coach is available at any time to answer a business question, find a procedure, or practice on a given topic.

The choice of access scope matters: a deployment that is too restricted limits the impact; a deployment that is too fast without preparation can generate confusion. The configuration you choose directly influences adoption and the quality of responses perceived by your teams.


✅ Choose Global Access (Recommended)

Global access gives all users in your organization the ability to use the coach.

Advantages:

  • Simple and uniform deployment, with no individual management.

  • Promotes a shared learning culture across the organization.

  • Maximizes use of your existing knowledge base.

Recommended use: organizations that want to encourage informal learning at scale, with an already well-populated knowledge base.


🔒 Choose Restricted Access

Restricted access limits coach usage to a defined population. Several restriction options are available:

  • Admins only: ideal for testing the coach before any wider deployment.

  • By training space: to limit access to specific departments or project teams.

  • By group: to target specific populations such as managers or subject matter experts.

  • Individual users: for manual selection in very specific cases.

Main advantage: full control over deployment, with the option of a gradual rollout.


⚒️ Understand Knowledge Management and Permissions

By default, the coach has access to your entire knowledge base, which includes all your training courses created in the Didask Studio, imported business documents, and resources from your integrations (e.g. SharePoint).

However, even if a user has access to the coach, they only see the knowledge they have access rights to. For example:

  • A user in the sales department will not have access to confidential HR documents.

  • Department-specific procedures remain compartmentalized.

  • Strategic information can be limited to managers.

This dual security (coach access + document rights) lets you deploy broadly while respecting the confidentiality of your information.


🚀 Activate the Coach: Steps

  1. Go to the Didask AI section from your admin interface.

  2. Select your access option: global or restricted.

  3. If you choose restricted access, define the relevant users, groups, or spaces.

  4. Click "Activate the Coach".

Authorized users immediately see the coach appear in their interface and can start using it for their everyday questions.


💡 Tips for a Successful Deployment

For a first deployment, start with restricted access for admins or a few pilot users, then expand gradually once you are satisfied with performance.

To maximize adoption, opt for global access accompanied by communication on concrete coach use cases, to encourage usage from the very first weeks.
