⚙️ How to Activate the Didask Coach for Your Learners

Didask's Coach answers your employees' business questions using your knowledge base. Accessible at all times, it supports informal learning and information searches, with flexible rollout options (global or restricted).

The Didask Coach supports your employees on a daily basis by answering their business questions using your knowledge base. Unlike the learning assistant, which is available during training sessions, the coach is always available to support informal learning and information searches.

📣 Defining the Coach's scope

As an administrator, you have access to the Didask AI section and its configuration page. The first step is to define the scope of access to the coach.

There are two main options:

Global access (recommended)

  • How it works:

    • All users in your organization have access to the coach

  • Benefits:

    • Simple and consistent rollout

    • Promotes a shared learning culture

    • Maximizes the use of your knowledge base

  • Usage:

    • Ideal for encouraging informal learning throughout the organization


🔒 Restricted access

  • How it works:

    • Only selected users can use the coach

  • Benefits:

    • Administrators only - Great for testing the coach before deployment

    • By training space - Limit to certain departments or project teams

    • By group - Target specific audiences (managers, business experts, etc.)

    • Individual users - Manual selection, useful for very specific needs

  • Usage: Total control over rollout and possibility of a gradual rollout


⚒️ Knowledge and permissions management

By default, the coach has access to your entire knowledge base, including:

  • All your training courses created in Didask Studio

  • All imported business documents

  • Resources from your integrations (e.g., SharePoint)

👉 Knowledge restrictions per user

Even if a user has access to the coach, they will only be able to see the knowledge for which they hold access rights. For example:

  • A sales department user will not be able to access confidential HR documents.

  • Strategic information can be restricted to managers.

  • Department-specific procedures remain siloed, or accessible only to the department concerned.

This dual security measure (access to the coach + access rights to documents) allows you to roll out the solution widely while maintaining the security and confidentiality over your information.


⚙️ Activating the coach

Once the access scope has been defined:

  1. Select your access option (global or restricted)

  2. If you choose restricted access, define the users, groups, or spaces concerned

  3. Click on “Activate the Coach”

Authorized users will immediately see the coach appear in their interface and will be able to start using it for their everyday questions.


✨ Rollout tips

💡 For initial deployment: Start with restricted access for administrators or a few pilot users, then gradually expand once you are satisfied with performance.

💡 To maximize adoption: Opt for global access accompanied by communication on use cases and benefits of the coach to encourage its use.
